As the number of participants increases, however, pricing by the individual isn’t always the most practical approach. Employee counts change. Someone may be traveling. A new employee might start the week before the session. Three people who were originally scheduled may suddenly be unavailable.
For larger teams, we use a half-day or full-day approach with a maximum number of participants.
This gives the company some flexibility. Rather than being locked into photographing exactly 42 people, for example, we can reserve enough time to accommodate the team within the participant limit for that day.
It also makes budgeting easier because the company knows the photography cost ahead of time even if the final headcount changes somewhat.

How Many Employees Can Be Photographed in a Day?
The answer depends on the type of headshot your company wants and how much time each employee needs in front of the camera.
For many corporate headshot projects, individual sessions can be completed in approximately 5–10 minutes per person. That gives us time to provide direction with posing and expression while keeping the overall schedule moving efficiently.
Before the photography day, we’ll work with your company to determine how many employees need to be photographed and how much time should be allocated to each person.
For larger organizations, designated appointment times can be particularly helpful. Employees can arrive at a scheduled time rather than waiting in line, which minimizes disruption to the workday.
Can You Photograph Headshots at Our Cincinnati Office?
Yes. For larger teams, bringing the photography setup directly to the company is often the most practical solution.
We can create a professional headshot setup at your office or another designated location and photograph employees throughout the scheduled half or full day.
Before the session, we’ll discuss the space requirements, background, lighting, scheduling, and the finished look your company wants to achieve.
For companies planning headshots around meetings, conferences, training days, or other company events, we can also discuss how the photography schedule can work around the day’s agenda.
What If We Don’t Know Our Exact Headcount Yet?
This is extremely common.
Your company may be actively hiring, waiting for employees to confirm their availability, or coordinating people who work remotely or travel frequently.
You don’t necessarily need a final headcount before beginning the planning process.
For larger teams, our half-day and full-day options allow us to establish a maximum number of participants while still giving you some flexibility as the final schedule comes together.
That means your HR or marketing team isn’t constantly revising the photography agreement every time the employee count changes.
What Happens When We Hire Someone New?
This is an important question for companies that want their headshots to remain consistent over time.

A conference room, training room, unused office, or other open area can often work well.
During the planning process, we can discuss your available space and determine whether it will work before the photography day.
How Should We Prepare Employees for Headshot Day?

Communication beforehand makes the day considerably easier.
Employees should know when and where their headshot will be photographed, approximately how long their appointment will take, and what they should wear.
We can provide guidance ahead of time that your company can distribute to employees so everyone knows what to expect.
Once they’re in front of the camera, we’ll guide them through posing and expression. They don’t need to arrive knowing what to do.
How Far in Advance Should We Schedule Corporate Headshots?
For larger teams, earlier planning gives us more flexibility with dates and allows your company time to coordinate schedules internally.
You don’t necessarily need every employee’s appointment determined before contacting us, though.
We can begin with the approximate size of your team, your preferred timeframe, where you’d like the photography to take place, and how you plan to use the finished headshots.
From there, we can recommend the most appropriate approach.
